How Do VoIP Phones Work and How Are They Affected by 5G?

In today’s fast-moving business environment, employees need to communicate from offices, homes, mobile devices, and temporary work locations. Customers, meanwhile, expect to reach the right person without being transferred through a maze of disconnected phone numbers.

Voice over Internet Protocol, better known as VoIP, gives businesses a more flexible way to manage those conversations.

VoIP allows organizations to make and receive calls through an internet connection rather than relying entirely on traditional telephone lines. A modern VoIP phone system can connect desk phones, computers, mobile devices, voicemail, business text messaging, and video meetings through one communication platform.

For businesses across New Mexico and El Paso, VoIP can make it easier to support remote employees, connect multiple offices, improve customer communication, and expand without rebuilding the phone system every time the team grows.

So, how do VoIP phones work, what equipment is required, and when can 5G improve their performance?

What is VoIP?

VoIP stands for Voice over Internet Protocol. It is a technology that converts a person’s voice into digital information and transmits it through the internet or an IP-based network.

A traditional landline carries a conversation through a dedicated telephone circuit. A VoIP system divides the conversation into digital data packets that can travel through the same type of network used for other business information.

Because the service is not limited to a single physical telephone line, employees may be able to use their business number or extension from a VoIP desk phone, desktop application, laptop, tablet, or smartphone. This flexibility makes VoIP suitable for small businesses, expanding organizations, hybrid teams, and companies with several locations.

How Does VoIP Compare With a Traditional Landline?

Traditional landlines are closely tied to physical wiring and fixed locations. Adding a line, moving an extension, or connecting an employee outside the office may require additional equipment or service work.

VoIP users, extensions, and call-routing rules can be managed through software. Employees can communicate through compatible devices wherever they have an appropriate network connection.

VoIP systems may also include features such as voicemail-to-email, automated attendants, call forwarding, call queues, virtual phone numbers, business text messaging, call recording, video conferencing, and mobile applications. A basic landline service generally offers fewer built-in communication and collaboration tools.

Traditional phone lines can remain useful for certain environments, particularly when an organization has limited internet availability. VoIP, however, is often better suited to businesses that need mobility, centralized management, multiple locations, or room to grow.

What Are the Business Benefits of VoIP?

One of VoIP’s greatest advantages is flexibility. Employees are no longer limited to a telephone attached to one desk. Depending on the system, they can answer business calls through a desk phone, computer, or mobile application while continuing to present the organization’s main business number.

Cloud-based VoIP systems can also make expansion easier. Instead of installing a new physical phone line every time an employee joins the company, an administrator or service provider may be able to create a new user and extension through an online portal.

The same portal can provide a central location for managing call routing, team memberships, voicemail settings, business text messaging, office hours, and other communication features.

Some VoIP platforms also integrate with customer relationship management systems and other business applications. These integrations can help employees access customer information during calls, maintain communication records, and reduce repetitive data entry.

Call recording is another useful option for organizations that need to review customer conversations, verify important details, maintain service standards, or train employees. Businesses using call recording should follow applicable consent, privacy, and industry requirements.

How Does VoIP Work?

A VoIP call may sound like an ordinary telephone conversation, but several digital processes happen almost instantly.

Voice Digitization

When you speak into a VoIP desk phone, headset, computer, or mobile device, the system captures your voice as an analog audio signal.

It then converts that signal into digital information that can travel through an IP-based network.

Compression

Digital audio is encoded and compressed using technology known as a codec.

Compression reduces the amount of data that must travel across the network while maintaining understandable voice quality. This allows the system to use the available network capacity more efficiently.

Packetization and Transmission

After compression, the audio is divided into small units called data packets. Each packet contains part of the conversation along with information that helps the network send it to the correct destination.

Think of the process as dividing a message into a series of carefully addressed envelopes, without needing paper, stamps, or a trip to the mailbox.

The packets travel through the business’s local network, internet connection, VoIP provider’s platform, and other network infrastructure. They may follow slightly different routes while travelling to the recipient.

Reassembly

When the packets reach the other end, they are placed back in the correct order, decoded, and converted into sound.

The recipient hears the speaker’s voice with very little noticeable delay. The process continues in both directions for the duration of the conversation.

What Affects VoIP Call Quality?

A stable internet connection is important, but download speed alone does not determine whether a VoIP call will sound clear.

Because voice communication happens in real time, data must arrive consistently and with minimal delay. Three network conditions are particularly important:

  • Latency is the amount of time it takes for voice data to travel between callers. Excessive latency can create noticeable pauses and cause people to speak over one another.
  • Jitter is the variation in the arrival time of individual packets. Too much jitter can make voices sound uneven, broken, or robotic.
  • Packet loss occurs when packets do not reach their destination. This can cause missing words, gaps in audio, and dropped calls.

Cisco identifies delay, jitter, and packet loss as important considerations when assessing a network for VoIP. It recommends evaluating these conditions before deployment so the network and traffic-prioritization settings can be configured appropriately.

VoIP performance can also be affected by network congestion, Wi-Fi coverage, router and switch performance, firewall configuration, cabling, internet-provider reliability, and the number of calls taking place at the same time.

Quality of Service settings can help prioritize voice traffic over less time-sensitive network activity. This reduces the chance that a large file transfer, backup, or software update will compete with an important customer call.

For these reasons, businesses should complete a network assessment before installing a new VoIP system.

Will 5G Improve Call Quality for My VoIP Phone?

5G can improve some VoIP uses, but it does not automatically make every VoIP call clearer.

The Federal Communications Commission describes 5G as the fifth generation of mobile technology, with the potential to provide faster data rates, lower latency, and greater capacity. These improvements can benefit real-time communication when a VoIP call is actually travelling through a strong 5G connection.

For example, 5G may improve connectivity for employees using a VoIP mobile application outside the office, remote workers relying on cellular internet service, field teams working from temporary sites, and organizations using cellular connectivity as a backup for their primary internet service.

Lower latency can reduce noticeable delays during conversations. Greater network capacity can also help support more connected devices and applications in busy areas.

However, call quality will still depend on signal strength, carrier coverage, network congestion, the user’s device, the VoIP platform, and the other networks carrying the call.

A desk phone connected to a wired office network will not automatically sound better simply because 5G cellular service is available nearby. Its performance will continue to depend primarily on the office’s internet connection, local network, equipment, and VoIP configuration.

The most accurate conclusion is that 5G can improve VoIP performance and flexibility when it forms part of the call’s connection path. It cannot correct every network, configuration, or equipment problem.

Is 5G the Same as 5 GHz Wi-Fi?

No. Although the names sound similar, 5G cellular service and 5 GHz Wi-Fi are different technologies.

  • 5G means fifth-generation mobile or cellular networking. Mobile carriers use it to connect compatible smartphones, tablets, cellular routers, and other devices.
  • 5 GHz Wi-Fi refers to a radio-frequency band used by a local wireless network.

A VoIP phone that supports 5 GHz Wi-Fi connects to a nearby wireless router or access point. It does not necessarily connect directly to a mobile carrier’s 5G cellular network.

This distinction is important when evaluating equipment. A phone advertised as supporting 5 GHz Wi-Fi is describing its local wireless capability, not its ability to connect directly to cellular 5G service.

What VoIP Equipment is Needed for My Business?

The equipment required for a VoIP system depends on the size of the organization, the number of employees, the existing network, and whether users work from one office or several locations.

A Reliable Internet Connection and Business Network

Because VoIP calls travel over an IP-based network, the business needs a stable and consistent internet connection.

The required capacity will depend on the number of simultaneous calls, the codecs being used, video-conferencing activity, and other applications sharing the connection.

The business’s routers, switches, firewalls, wireless access points, and cabling must also be capable of supporting voice traffic. Some organizations use Power over Ethernet switches, which can provide compatible desk phones with both network connectivity and electrical power through one Ethernet cable.

The network may also need to be configured to prioritize voice traffic and allow the VoIP platform to operate securely.

VoIP Phones, Adapters, and Softphones

VoIP desk phones connect to the business network instead of a traditional telephone jack.

Depending on the model, they may include high-definition audio, multiple lines, programmable buttons, speakerphone capabilities, headset connections, conference controls, contact directories, and Wi-Fi or Bluetooth connectivity.

Some adapters allow compatible traditional telephones to connect to a VoIP service.

A softphone provides another option. It is an application that allows a computer, tablet, or smartphone to function as a business phone. Employees can make and receive calls using a headset, built-in microphone, or mobile device.

Softphones are especially useful for remote employees, hybrid teams, travelling staff, and employees who move between business locations.

A VoIP Service Provider and Cloud Portal

A VoIP service provider manages the organization’s phone numbers, extensions, voicemail, call routing, user accounts, and connections to outside telephone networks.

A cloud-based portal may allow authorized administrators to add users, create extensions, update call routes, manage voicemail settings, configure call queues, set business hours, review call activity, and connect desktop and mobile users.

Centralized management can make it easier to maintain a consistent communication system across departments and locations.

Backup and Continuity Options

Because VoIP depends on electricity and network connectivity, businesses should prepare for possible service interruptions.

A continuity plan may include battery backup for phones and network equipment, a secondary internet connection, cellular or 5G failover, automatic forwarding to designated mobile phones, and documented emergency communication procedures.

The correct combination will depend on how important uninterrupted telephone access is to the organization.

Choosing the right VoIP system requires more than purchasing new desk phones. The internet connection, network hardware, firewall, cloud platform, mobile applications, routing rules, backup strategy, and employee training must all work together.
